The Office Administrator provides support to managers, other employees, and office visitors by handling a variety of tasks to ensure that all interactions between the organization and others are positive and productive. The Office Administrator will be responsible for handling office tasks, providing polite and professional assistance via phone and e-mail, and generally being a helpful and positive presence in the workplace.
As the company’s “Director of First Impressions” the ideal candidate should be a multi-tasker with excellent communication skills and an upbeat, positive, and confident attitude. They should be professional, polite, and attentive while also being thorough. They should always be prepared and responsive, willing to meet each challenge directly. They must be comfortable with computers, online platforms, and general office tasks. Most importantly, the office admin should have a genuine desire to meet the needs of others.
Key Responsibilities (other responsibilities may be assigned):
Perform all clerical and administrative functions necessary to drive company success:
- Manage phone calls and correspondence for our general email inboxes.
- Facilitate the creation of leads, design, and construction jobs in the company software platform.
- Set up and maintain vendor accounts including the creation of new accounts and managing required paperwork and documentation from subcontractors/vendors.
- Prepare paperwork necessary for corporate insurance audits.
- Enter invoices and credit card receipts and file appropriately.
- Assist the Project Manager with job buyouts including the creation/distribution of requests for proposals and contacting subcontractors and vendors to expedite the bidding process.
- Assist the Project Manager with creating necessary project documentation such as permit applications, subcontracts, purchase orders, etc.
- Submit all contracts to appropriate parties for signature via DocuSign.
- Assist Operations Manager with year-end-close procedures.
Qualifications & Skills:
- Excellent oral and written communication skills and interpersonal abilities.
- Proven experience as an office administrator, office assistant, or equivalent relevant business experience. An associate’s degree in office administration or a relevant field is preferred.
- Familiarity with basic accounting principles. Preference will be given to candidates with a working knowledge of SAGE Software.
- Proven ability to prioritize, multitask and anticipate needs.
- High attention to detail with strong organizational and time management skills.
- Excellent knowledge of computers and software including MS Office.
- Familiarity with residential construction and design is preferred.
- Willingness to learn and actively seeks educational and training opportunities.
